General Data Protection Regulations, 2018 and Friends of Kilminorth Woods

Data – what data do we store about you?

When you join the Friends of Kilminorth Woods (FofKW), you will be asked complete a membership form.

This will ask for your name and contact details.

The Chair and the Membership Secretary store this information so that they can e-mail or telephone you to give you details about our events and other information relevant to being a member of a Friends Group, such as details about e.g. planning applications affecting the Kilminorth Woods area. The Treasurer may also request this information regarding payment of subscriptions.

If you decide that you do not wish to renew your FofKW membership, your details will be removed from the Membership Secretary’s personal computer (PC) immediately upon being advised that you no longer wish to be a member, or within 28 days of a final e-mail being sent to you regarding membership.

You may also have been asked to complete a form for Gift Aid, if you currently pay Income Tax, enabling us to collect a contribution from the Government.

In order to request Gift Aid, the Treasurer provides the Inland Revenue with your name, address and postcode, and the amount of your donation or membership. This is stored as a schedule by the Treasurer on his/her personal computer (PC).

All paper information regarding Gift Aid is stored for 7 years, and then destroyed using a crosscutting shredder.

All information about you is stored securely on the PCs of the Chair, Membership Secretary and, where relevant, by the Treasurer’s PC in their private homes, and is not shared with any other person or body without your permission.

Please note that the Friends of Kilminorth Woods Group is exempt from registering with the ICO (Information Commissioner’s Office) as personal information is held solely for the purposes of running the Group, and is not, as such, processed.
